MYA Property Ltd is a private residential property business based in Southampton, managing a large and growing portfolio of around 860 houses and apartments with a combined asset value of £130 million. The day-to-day work spans lettings, property management, maintenance coordination, finance, credit control, compliance and general administration. As the business has grown, it has moved away from informal, paper-led ways of working toward something more structured and easier to scale, with HR streamlining and digitisation sitting right at the centre.
The Challenge
Before Factorial, HR lived in a lot of different places. Individuals handled much of the administrative side in offline records, with directors looking after the supervisory side. It worked while the business was smaller, but it was never going to scale.
The core problem was that nothing was centralised. Holiday requests, absence records, timesheets, employee details, performance review material and HR documents were not in one place. Getting a clear picture meant asking several people or digging through several documents.
There was also a quieter risk: too much undocumented knowledge. If the right person was away, it could be hard to see the latest position quickly. As the team grew, that fragility became harder to ignore.
The trigger for change was a wider HR reform programme covering performance, reward, holiday planning, compliance and employee records, alongside a decision on whether to keep more HR in house or outsource parts of it. A good HR platform would strengthen either route.

The Solution
MYA came across Factorial while reviewing HR software as part of its reform work. The outsourced route mostly offered legal HR advice rather than the software platform and performance tools MYA wanted, so Factorial felt better matched to the practical, operational side of the business.
The decision was a team effort. Office administration wanted less manual work and centralised records. Leadership wanted compliance, visibility, cost control, scalability and a practical way to land the HR reforms. The operational teams wanted time tracking and daily HR tasks to be simpler and more consistent.
The Results
MYA expects to save several hours a week by cutting out the manual filing, chasing, checking and reconciling that used to surround HR information, with the biggest savings coming from centralising absence, time tracking, employee records and documentation.

The people side has moved in the right direction too. Employees saw it as a positive step toward a more modern, professional HR environment, and the early rollout let them explore the system before the wider launch. Managers benefit from clearer visibility and a more structured way of working, increasingly working from a shared system with clearer approval and review steps.

Advice for Growing Businesses
Babak's advice is to think about the process first. Factorial is most useful when you already know what you want to improve, whether that is absence management, time tracking, employee records, onboarding, performance reviews or compliance. Define those goals clearly and the platform becomes a strong foundation for better management.
The second piece of advice is to run a staged rollout. Let a few users test the system, catch the login and setup issues early, and use that feedback to improve the wider launch. It makes adoption smoother and gives staff more confidence.
